From client enquiry to final payment.
Organising all parts of a service job reduces duplicated entry and makes costs easier to understand.
Start with one client record
Maintain up-to-date contact details and note the work requested. Avoid creating duplicate entries whenever the same customer returns.
Quote and record the work
Keep the quoted scope, accepted terms and work dates clear. Store job notes separately from information that should appear on the final customer invoice.
Track costs as the job proceeds
Where relevant, associate worker hours, materials and other business expenses with the job. Internal labour rates should not appear automatically on customer-facing PDFs.
Issue the invoice and record payments
Review the final document before issue. Reconcile each actual payment to the correct invoice and retain a consistent trail for corrections.
Keep historical records useful
Archived or inactive customers may return. Preserve history where appropriate and make routine search, export and controlled deletion straightforward.
