Choose where your business records stay.
Google sign-in, Gmail sending and company-data sync are separate choices. These instructions describe the release candidate; public cloud access remains closed until approval.
Your folder on this computer
YCB Desk creates a local storage folder automatically. You do not need to choose one to start. In the app, open Folder and file details to inspect or open the actual folder. Use the built-in folder change action to make a verified copy; keep the previous copy until the new location is checked. Do not move an open database with File Explorer.
Keep a business local
A local business can keep its records on the computer. For a connected business, turn off company sync to stop new transfers from this computer. This does not sign you out of Google, disconnect Gmail, cancel billing or delete files already held in the cloud. Drafts and local edits stay here. Issuing an invoice with a cloud-assigned number still requires sync. Use a separate local business for invoices that must never be uploaded. Offline signed permission still has its own expiry.
See your cloud allowance
The storage panel separates used, available and pending-deletion space. The allowance belongs to the paying account and is shared across its businesses. Creating another business does not grant another full allowance. An approved extra-storage purchase increases the account allowance; usage does not start an unlimited paid overage.
Free cloud space safely
Review the selected originals and keep a verified local backup first. Trash keeps files recoverable and continues to count against the allowance during retention. Space is released only after cloud deletion is confirmed. A pending or failed deletion still counts; refresh its status before assuming the space is available. Backup and restore remain separate checks.
Original documents and Gmail
Upload an original PDF or image, preview it and enter the financial figures yourself. OCR and automatic bank import are disabled. To email an invoice, connect Gmail separately; signing in with Google alone does not grant permission to send mail.
